Roles and permissions
Roles decide what each teammate can do. Back-office roles gate which pages a user can open — for example, whether they can see reports or change settings. On the POS, permissions gate sensitive actions like voids, refunds, and discounts. Give each person the least access that lets them do their job so reporting and the audit trail stay meaningful.
Before you start
- You're an owner or admin — only they manage the team.
- Decide each teammate's responsibilities before assigning a role.
Steps
- Open Team — Manage members, roles, and POS PINs from the Team page.
- Assign a role — Owners and admins manage everything; more limited roles restrict settings, reports, or specific areas.
- Limit locations if needed — Restrict a teammate to specific locations so they only see their store's data.
- Set a POS PIN — Staff who ring sales sign in on the station with a short PIN set from their profile.
- Tune POS action approvals — Use Manager Overrides to choose which POS actions need manager approval and the minimum role to approve.
Common mistakes
- Making everyone an admin, which erases meaningful permissions and audit.
- Sharing one PIN across the floor, breaking sales attribution.
Troubleshooting
A teammate can't open a page they need.
Their role doesn't include it; an owner or admin can change their role under Team.
A cashier is blocked from a POS action.
It's permission-gated — grant the permission via the role, or require a manager approval instead.
When to contact support
- You need a role that doesn't seem to exist for your use case.
- An owner account is locked out and no other admin can help.
