Add users and permissions

Each person on your team gets their own Pedestal user. Back-office roles control which pages they can open (for example, whether they can see reports or change settings), and POS staff use a PIN to sign in on a station. Giving everyone their own user keeps your reports and audit trail meaningful.

Before you start

  • Log in as an owner or admin — only they can manage the team.
  • Collect each teammate's email address and decide their role.

Steps

  1. Open Team in the left navigationYou'll see current members and pending invites.
  2. Invite a teammate by emailThey receive an invite email and set their own password — you never share yours.
  3. Assign a roleOwners and admins manage everything; more limited roles restrict settings, reports, or specific back-office areas.
  4. Limit location access if neededTeammates can be restricted to specific locations so they only see their own store's data.
  5. Set a POS PINStaff who ring sales sign in on the station with a short PIN — set or reset it from their team profile.

Common mistakes

  • Making everyone an admin. Give the least access that lets each person do their job.
  • Sharing one PIN across the whole floor, which makes sales attribution useless.

Troubleshooting

An invite is stuck pending.

Ask the teammate to check spam, then resend the invite from the Team page.

A teammate can't open a page they need.

Their role doesn't include it. An owner or admin can change their role under Team.

When to contact support

  • An owner account is locked out and no other admin can help.
  • You need a role that doesn't seem to exist for your use case.
